What you can and can't fax to the IRS

Published:

If you filed an extension in April, your 2025 federal tax return is due October 15, 2026, and you cannot fax it in.

The IRS takes a Form 1040 two ways: e-filed, or on paper through the mail. There is no fax number for filing a return. A faxed 1040 does not count as filed, even when the fax confirmation says every page went through. The one exception is an IRS employee who is working your case and asks you to fax a copy to them. That is a reply to a request, and you use the number they gave you.

So for the return itself:

  1. E-file it. IRS Free File stays open through October 15, and tax software and preparers can e-file until then too.
  2. Or mail it. A paper return counts as on time if it is postmarked by October 15.
  3. If you owe, pay what you can now. The extension gave you more time to file, not more time to pay.

If you live in a federally declared disaster area, your date may be later. The IRS lists those areas on its site.

What people do fax in the last two weeks

1. Signed forms and documents to a tax preparer

Form 8879 is the page you sign so a preparer can e-file for you. It goes to the preparer, never to the IRS, and they cannot send your return until they have it. If the office asks for it by fax, along with a late W-2 or 1099, that is a normal request. Their fax number is on their letterhead or in their email signature. If you can’t find it, call and ask.

2. A reply to an IRS letter

If the IRS mailed you a notice asking for documents, the notice says where to send them, and many print a fax number. For a CP2000, the IRS says to fax your reply to the location listed at the top left of the notice.

Use that number and no other. IRS fax numbers differ by office and by notice, which is why our IRS page does not print one.

3. Form 2848, so someone can talk to the IRS for you

Form 2848 lets a preparer or another representative deal with the IRS on your behalf. The IRS takes it online, by fax or by mail. The fax number depends on where you live and is listed in the “Where to file” chart in the form’s instructions.

One catch: a faxed Form 2848 needs a handwritten signature. If you signed on a screen, the IRS only accepts it through its online tool. Form 8821, which lets someone see your tax records without representing you, has its own instructions and its own chart.

How to find the right fax number

  1. Start with the paper in your hand. An IRS letter prints its fax number on the letter. A form’s fax number is in that form’s instructions.
  2. Take the number from irs.gov or from the office itself. Skip numbers from forum posts and old downloads.
  3. For other federal and state offices, search the ProntoFax fax number directory. Each listing shows where the number came from and when it was last checked.
  4. Read the number back digit by digit before you send. A wrong fax number can still answer, and then your documents sit in an office that was not expecting them.

Send a test fax first

Tax documents are small print, and a phone photo that looks fine on your screen can arrive hard to read. A test fax sends your own pages to a ProntoFax test line and shows you what arrived, on screen and by email. You see whether every page made it, in order, and whether the numbers are readable.

Two things to know:

  • A test costs $2.99, the same as any fax.
  • A test checks your pages. It does not check the destination number, so step 4 above still matters.

Once a test is delivered you get a code that saves 33% on your next fax. It works once, with the same email address, and lasts 5 hours, so run the test when you are ready to send the real one.

Send the real thing

  1. Open ProntoFax in your phone’s browser. Take photos of the pages or upload a PDF. One fax holds up to 25 pages, and a cover page counts as one of them.
  2. Enter the fax number from your letter, your form’s instructions or your preparer.
  3. Add a cover page with your name, a phone number and the notice or reference number from the letter.
  4. Pay $2.99. No account. You are charged only if the fax is delivered.
  5. Keep the confirmation email with your tax records. It shows the delivery time and the page count, with a link to view what you sent.

A fax confirmation means the pages reached the machine at that number. It does not mean the IRS has processed them, so keep your originals.

This note is about getting documents where they need to go. It is not tax advice.
